Academy Operations Executive

Birmingham City Women FC (BCWFC) is looking for an enthusiastic Academy Administrator to support the day-to-day operations of our Academy teams, ranging from Under 21s to Under 10s. You will play a key role in ensuring the smooth running of fixtures, training, and compliance with governing body regulations.

Job Description

Key Responsibilities

  • Provide day-to-day support for BCWFC Academy teams, ensuring the smooth execution of match day and training logistics
  • Coordinate venues, communicate with players, parents, and staff, and ensure compliance with FA and PGAAC regulations
  • Monitor and manage staff qualifications, onboarding processes, and payroll submission in collaboration with HR and Finance departments
  • Assist the Kit Manager in ensuring players and staff are fully equipped
  • Organise Academy meetings, player reviews, workshops, and end-of-season events
  • Oversee player registration and manage all football administration, including data input on the iFAS system
  • Support the recruitment process by managing trials and trialist administration
  • Maintain and manage Academy schedules, documents, and statistics
  • Represent BCWFC in a professional manner and contribute to a collaborative team environment

What we’re looking for in you:

Qualifications (Essential):

  • GCSE (or equivalent) in Maths and English at grade C or above or relevant experience

Qualifications (Desirable):

  • Degree in sports or business management
  • Experience in football development, especially in women’s football
  • Knowledge of The Football Association (FA) and football operations

Skills & Experience (Essential):

  • Strong administrative skills with the ability to handle pressure and prioritise tasks
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant IT platforms
  • Excellent organisational, communication, and project management skills
  • Ability to manage meetings, prepare documents, and ensure accurate information recording
  • Strong networking abilities and experience in building relationships across teams and departments
  • Commitment to confidentiality and data protection
